Privacy Policy

This Privacy Policy describes how Vista Tech Solutions LLC (“Vista,” “we,” “us,” or “our”), located at 2524 W Freddy Gonzalez, Edinburg, TX 78539, collects, uses, and shares information in connection with the Vista AI Receptionist service (the “Service”) and this website, vistareceptionist.com (the “Site”). Vista AI Receptionist is an AI-powered phone receptionist that answers calls on behalf of the businesses that subscribe to the Service.
1. Who This Policy Covers
We handle information in two distinct roles:
- Business customers (“Tenants”) — the businesses that subscribe to the Service to have their phone calls answered. We collect and manage their account information directly.
- Callers— people who call (or receive calls or text messages from) a Tenant’s business phone number that is answered by the Service. We process caller information on behalf of, and as a service provider to, that Tenant so the Tenant can serve the caller (for example, by fulfilling an appointment or order).
2. Information We Collect
From business customers: contact and account information (name, business name, email address, phone number), business configuration data used to power the receptionist (business hours, services, staff availability, menu or catalog items, greeting preferences), and billing information. Payment card details are collected and processed by our payment processor; we do not store full payment card numbers on our systems.
From callers: the phone number you call from or provide, the audio of your conversation with the AI receptionist (processed in real time to conduct the conversation), call records such as transcripts and summaries, and the details you provide to complete your request — for example your name, requested appointment time, or order items. This information is made available to the Tenant business you called so it can fulfill your booking, order, or inquiry.
From Site visitors: standard technical information in server logs, such as IP address, browser type, and pages requested. This Site does not use third-party advertising cookies or third-party analytics trackers.
3. How We Use Information
- To provide the Service: answering calls, holding voice conversations, checking availability and booking appointments, taking orders, capturing messages and leads, and placing outbound calls (such as reminders and order-ready notifications) on a Tenant’s behalf.
- To send transactional text messages related to a caller’s interaction, as described in Section 4 below.
- To operate Tenant dashboards showing call history, bookings, orders, configuration, and billing.
- To bill Tenants for their use of the Service.
- To maintain, secure, troubleshoot, and improve the Service.
- To comply with legal obligations.
We do not sell personal information, and we do not use caller information for third-party advertising.
4. SMS / Text Messaging (Mobile Information)
The messaging program. When you interact with a business that uses Vista AI Receptionist — for example, by calling to book an appointment or place an order — the Service may send you transactional text messages related to that interaction, such as booking confirmations, appointment reminders, order updates and order-ready notifications, and follow-ups regarding your request. These are service messages, not marketing messages.
How consent is collected. You consent to receive these messages when you call a business whose phone line is answered by the Service and provide your phone number during that call for the purpose of your booking, order, or inquiry (or when you otherwise give that business your number for that purpose). Providing your number in this way opts you in only to messages about your interaction with that business — it does not enroll you in any marketing list.
Message frequency. Message frequency varies based on your activity. A typical booking or order results in a small number of messages (for example, a confirmation and a reminder). You will not receive recurring marketing messages through this program.
Message and data rates may apply.Your mobile carrier’s standard message and data rates may apply to messages you send and receive.
Opting out (STOP). You can opt out at any time by replying STOP to any message you receive from the Service. After you send STOP, you will receive one final message confirming your opt-out, and no further text messages will be sent to your number through the program. If you opt out, businesses may still contact you by other means (such as a phone call) regarding transactions you have requested.
Getting help (HELP). Reply HELP to any message for assistance, or contact us at admin@vistatechsolutions.io.
No sharing of mobile information for marketing. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, excluding vendors and service providers acting on our behalf solely to deliver the messages (for example, our telephony and messaging provider, Twilio).
5. How Consent Is Collected During a Call
Consent is collected verbally, on the call itself. Because callers interact with the Service by phone rather than through a web form, consent to receive text messages is collected during the phone conversation. At the moment a caller provides their phone number to book an appointment, place an order, or otherwise complete a request, the AI receptionist speaks a disclosure before any text message is sent.
The exact disclosure the AI receptionist speaks. When a caller provides their phone number, the AI receptionist says:
“Got it — I’ll text your confirmation and any reminders to that number. Those texts will come from this business’s phone number. Message frequency varies, and message and data rates may apply. You can reply STOP at any time to stop receiving texts, or HELP for help.”
A caller who does not wish to receive text messages can say so at any point during the call, and no messages will be sent to their number. Opting out of texts never prevents a caller from completing their booking, order, or inquiry.
This disclosure is mandatory across the Service. Every business that uses Vista AI Receptionist operates on the same platform, and this disclosure is a product-wide requirement enforced by Vista Tech Solutions LLC — it is not optional and cannot be modified, shortened, or disabled by any individual business. Every AI receptionist on the Service gives this same disclosure before its business sends any text message.
The scope of the consent collected this way, message frequency, rates, and how to opt out (STOP) or get help (HELP) are described in full in Section 4 above.
6. How We Share Information
We share information only as needed to operate the Service:
- Service providers. We use vendors that process data on our behalf under contractual restrictions, including Twilio (telephony and SMS delivery), Amazon Web Services (hosting, and real-time voice AI processing via Amazon Bedrock), and a payment processor (Tenant billing). These vendors may not use your information for their own marketing.
- The business you interacted with.If you are a caller, the Tenant business you called receives the records of your interaction (call history, bookings, orders, and messages) so it can serve you. That business’s own privacy practices apply to its use of your information.
- Legal and safety. We may disclose information if required by law, legal process, or to protect the rights, safety, or property of Vista, our customers, or others.
- Business transfers. If Vista is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this Policy.
We do not sell personal information, and — as stated above — mobile phone numbers and SMS opt-in data are never shared with third parties for marketing or promotional purposes.
7. Data Retention
We retain account information for as long as a Tenant’s account is active and as needed afterward to comply with legal, billing, and accounting obligations. Call records (transcripts, summaries, bookings, and orders) are retained as part of the Tenant’s business records while the Tenant’s account remains active, and are deleted or de-identified within a reasonable period after account closure unless a longer period is required by law.
8. Security
We use commercially reasonable administrative, technical, and physical safeguards designed to protect the information we handle, including encryption of data in transit and access controls on our systems. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Your Choices and Rights
- SMS opt-out: reply STOP to any message, as described in Section 4.
- Access, correction, and deletion: you may contact us at admin@vistatechsolutions.io to request access to, correction of, or deletion of your personal information. Where we process caller information on behalf of a Tenant business, we may refer your request to that business or assist it in responding.
- Depending on where you live, you may have additional rights under applicable state privacy laws. We will honor valid requests as required by law and will not discriminate against you for exercising your rights.
10. Children
The Service and the Site are intended for business use and general audiences. They are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us and we will delete it.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page and, for material changes, provide additional notice as appropriate. Continued use of the Service after changes take effect constitutes acceptance of the updated Policy.
